address column in insert address in word
I posted this in a Word Newsgroup and was told that I should post it to a outlook newsgroup. When I open insert address in word the only thing I see is the company name and a phone number. I have several address for the same company, so I have no idea which one to pick. Is there a way to get a column for address? Help. :( Thank you. Becky

What version and mail support mode of Outlook? Are all of your Contacts appearing, or only some? What do the File As... fields for these Contacts show? -- Russ Valentine [MVP-Outlook]

Russ, I am running office 2000. No, not all of the contacts show, most of them do but several don't. In outlook in the file as field the I selected to file under the company name. When I use outlook everything is there and fine, but when I try to use word, I only get the company name and now I get e-mail address too. I am extremely unfamiliar with Microsoft having only been forced to switch in the last few months. Thank you for any help. You have a problem with your Outlook Address Book. To sort it out I'll still need to know what mail support mode you're using (line 2 of Help | About) and what you installation path was: clean or upgrade? -- Russ Valentine [MVP-Outlook]

Russ, Thank you for trying to help me but I am obviously extremely lost. When I go to about in outlook it just gives me credits and things like that. It also gives you the version and mail support mode. The second line should say either "Corporate/Workgroup" or "Internet Mail Only." They use completely different address books, so we can't solve address book problems without knowing the mail mode. It is also helpful to know if this was a new installation or whether you upgraded an old one, since that's where most of these problems arise. -- Russ Valentine [MVP-Outlook]

Go to Tools > Services. Make sure the Outlook Address Book service is listed. If not, add it. Next, R click on the Contact folder as well as any Contact subfolders you want the OAB to display, choose "Properties", go to the Outlook Address Book tab and check the "Show this folder as an E-mail address book" box. Now all of your Contacts should be available to you in the Insert Address dialog from Word. If they are not, remove the Outlook Address Book Service, restart Outlook, and add it back to reset the connections to your Contacts folder(s) -- Russ Valentine [MVP-Outlook]

Russ, I am now no longer running office 2000 They just came and installed Office XP on my computer. I went to E-mail accounts, then View or change existing directories or address books. There is one thing listed Outlook address book, under type it says MAPI. I am on the verge of giving up and doing things my own old non-microsoft way. Thanks for the help. Not good. Upgrading an installation that has a corrupt Outlook Address Book will usually make matters worse. Thank "them" for me. This is a moving target. To reset the Outlook Address Book in Outlook 2002, Go to Tools > E-mail accounts > View or change existing directories or address books > Outlook Address Book then click on Change. to make sure the Contacts folder(s) you want to display are listed. If not, you may need to enable the Contacts Folder as an e-mail address book by R clicking the Folder > Properties and check the "Show this folder as an E-mail address book" box. Make sure you restart Outlook after making these changes. If you still can't see all your Contacts, you'll need to remove and Readd the Outlook Address Book, restarting Outlook in between. -- Russ Valentine [MVP-Outlook]
